Pavilion Reservation Procedures
- Pavilion reservations for 2024 began on TUESDAY, JANUARY 2, 2024
- Reservations can be made ONLINE or IN-PERSON ONLY.
- Reservations are made for use on dates between April 1st – October 31, 2024 (all other dates before or after are no charge and available for use on a first-come, first served basis).
- IMPORTANT: Pavilion rentals are for personal use only (i.e. picnics with family or friends, celebrations such as baby showers and birthdays, and the like, etc.). Any other use, MUST have prior approval through the Parks & Recreation Administrative Office. You will need to complete and submit a Special Event Application for review and decision (see link in above section). All rules and regulations pertaining to use for a Special Event are included in the application for your review.
- A pavilion reservation is for the whole day (no hourly rentals) during normal park hours-dawn to dusk. Please be aware that even though the permit you receive will state 8am-8pm, this is only because our reservation system requires we provide a start and end time and those time-frames are most common. However, when dusk occurs before 8pm, that overrides your permit time and you will need to leave the premises.
- Pavilion rentals require full payment to be made AT THE TIME of reservation. We are not able to provide date or pavilion ‘holds’.
- If you are out of town and cannot come in-person to make your reservation and payment, you should designate someone local to come into the office to handle the reservation and payment for you.
- Please retain your receipt and permit provided to you at the time of reservation and take it with you to the park on the day of your event.
- If you cancel 60 days or less prior to your event, the full payment made is forfeited and no refund is available for any reason. Refunds must be requested 60 days or more from your reservation date. Any renter who cancels for any reason inside of 60 days from the reservation date will not be eligible for a refund, as mentioned above. Refunds will only be given inside of the 60 days IF M-BC Parks & Recreation is unable to provide the pavilion for use. You are renting a pavilion shelter with the understanding that the weather may not be conducive for your planned event on your rental day and that if this is the case, you understand that refunds will not be given for inclement weather situations. No rain dates.
- You may decorate the pavilion on the day of your rental. Eye hooks have been installed on a number, but not all, pavilions for your use in decoration. In addition, you may USE EASILY REMOVEABLE, NON-PERMANENT TAPE OR STRING ONLY. Any tape or string used, MUST BE REMOVED ENTIRELY along with the decorations at the end of your event and either thrown into the trash or taken with you.
- Be sure any trash, food and other debris from your event is placed in the provided garbage recepticle, leaving nothing behind.
- Inflatables such as moon bounces or other recreational items are NOT permitted for personal, social pavilion rentals.
- If you need assistance, (if someone is using your pavilion) take your permit to the concession stand during our summer season and explain the situation to a park employee- they will assist you. If you have rented your pavilion in the off-season, please call the local non-emergency police line for assistance.
